Sales automation that keeps every lead moving

We design sales processes that capture leads in your CRM, qualify incoming requests, remind reps of the next step and send follow-ups at the right moment. Your team spends its time on conversations and decisions, not on data entry.

The business problem

Leads are not lost for lack of tools, but for lack of a consistent process

In many companies a lead from a web form lands in an inbox, then in a spreadsheet, then — eventually — in the CRM. The follow-up depends on a rep’s memory. The more lead sources you have, the higher the risk of a late reply, a missing status or a call made without any context.

Sales automation does not replace your reps where relationships and judgment count. It takes over the repetitive part: recording data, first-pass qualification, reminders, follow-ups and activity reporting.

Before and after

The same inbound lead — before and after sales automation

The sales process stays yours. What goes away is manual retyping and the constant risk of forgetting the next step.

Before automation

  • A form submission sits in a general inbox until someone notices it.
  • A rep creates the contact by hand and copies details from the email.
  • Priority is judged by gut feeling, and the follow-up lives in a personal calendar — or nowhere.
  • The sales manager only learns how many leads are waiting by asking around.

After automation

  • The lead appears in the CRM the moment the form is sent, with source and UTM data attached.
  • Rules and AI assess fit and urgency, and the lead is assigned to the right rep.
  • Tasks and follow-ups are created automatically; if nothing happens, a reminder goes out.
  • Everyone sees the status of every lead in real time — no chasing required.

Target process

How an automated sales process works, step by step

A good sales process does not start with picking a tool. It starts with deciding exactly what should happen from first contact to follow-up.

  1. 01

    The lead enters the system

A form, campaign, chatbot or phone call — every request lands in the CRM with its source and context, without anyone typing it in.

  2. 02

    Qualification and tagging

The system collects the key facts — industry, need, budget, timing, request type — and assigns a priority based on your rules.

  3. 03

    Routing to the right rep

The lead goes to the right person. n8n creates a task, sends a notification, adds a note and watches the deadline for first contact.

  4. 04

    Follow-up and reporting

After each conversation the status updates, the follow-up is sent, the rep is reminded of the next step and the sales report fills itself in.

What to automate

Where sales automation makes the biggest difference

The effect shows wherever a lead passes through several systems — that is where context gets lost, statuses go stale and replies come too late.

Forms

From campaign to CRM in seconds

Every contact enters the CRM with source, consents, UTM parameters and tags — and a task for the right person already assigned.

Chatbot

Lead qualification on your website

The chatbot talks with the visitor, collects key details, recognizes the need and hands the lead to a rep or saves it in the CRM.

Voicebot

Automatic call-back after a form

The voicebot calls the lead, confirms interest, gathers basic information and books a call with a rep, logging everything in the CRM.

CRM

Lead scoring and routing

Based on source and answers, each lead gets a status, priority and owner, and the next task is created to match the situation.

Email

Follow-ups that fit the stage

The system sends what the situation calls for: a meeting summary, materials, a decision reminder or a request for missing details.

Reports

Sales activity report

See where leads come from, what status they are in, where delays build up and at which step opportunities slip away.

People and automation

Automation should support your reps, not replace them

For a service business a good starting point is the web-form lead: save it to the CRM, tag the source, pre-qualify it with a chatbot, create a task for a rep and send an automatic follow-up after the call. A simple flow that is easy to extend later.

Teams with many phone inquiries often add a voicebot to call leads back and confirm a meeting time. Negotiation, proposals and final decisions stay where they belong — with people.

Measuring impact

Sales metrics worth tracking after automation

We define what to measure before launch, so the effect of automation is visible in your own data.

  • Time from inquiry to first contact
  • Leads by source and campaign
  • Leads without an owner or next step
  • Follow-ups sent and replies received
  • Conversion between pipeline stages
  • Opportunities with no activity for too long

FAQ

Sales automation FAQ

What is sales automation?

Sales automation is a consistent process from first contact to follow-up that runs without manual data handling. In practice it means leads saved to the CRM automatically, qualification of inquiries, task assignment, reminders, messages, status updates and activity reporting. Reps keep the conversations and decisions.

Can an AI chatbot qualify leads?

Yes. During the conversation it collects the need, contact details, company type and preferred timing, then passes the lead to the CRM or directly to a rep. The qualification questions and criteria come from your sales rules, so the bot asks what your team would ask.

Which CRM works best for sales automation?

Any CRM with an API or webhooks can be automated — HubSpot, Pipedrive and Salesforce are common examples. More important than the brand is a clear pipeline with defined stages and owners. We usually build on the CRM you already have rather than forcing a migration.

Will automated follow-up emails sound robotic?

They should not, and we design them not to. Messages are written for a specific stage and situation, reference what actually happened, and can be personalized with AI. For sensitive moments we prepare drafts for a rep to approve instead of sending them automatically.

Where should we start with sales automation?

Usually with the path of an inbound lead: capturing it in the CRM, tagging the source, assigning an owner and making sure the first contact and follow-up happen on time. If you are unsure where the biggest gap is, a process audit maps your lead sources and shows which step to automate first.
