n8n implementation services built to be maintained and extended

We design n8n workflows that connect your business systems and handle webhooks, APIs and AI scenarios — with error handling, monitoring and documentation. You stay in control of the logic and the data.

n8n in practice

What is n8n and when does it make sense for a business?

n8n is a platform for building advanced workflow automation. It connects forms, CRM, mailboxes, spreadsheets, databases, accounting systems, webhooks, APIs and AI models into a single process that follows your business logic.

It delivers the most value once simple “if A, then B” rules stop being enough. In n8n you can build flows with conditions, loops, data transformations and exception handling, add your own JavaScript or Python, and run everything on your own server — without depending on someone else’s infrastructure or paying per operation.

At AutomationNex n8n is one of our core tools, but we always start with the process. First we agree on what should happen, who owns the exceptions and how we will measure the result — and only then do we build the workflow.

Choosing a tool

n8n, Make, Zapier or custom code?

We match the tool to the complexity of the process, security requirements, number of integrations and scale — not to the platform’s popularity. Sometimes the honest recommendation is a simpler option.

n8n

Flexibility and control

Complex workflows with APIs, webhooks, conditions, loops and custom code. Self-hosting is available and costs stay predictable at high operation volumes.

  • complex logic and exceptions
  • self-hosting and data control
  • AI agents inside the process

Make / Zapier

Quick start for simple integrations

A good choice for simple, linear connections between apps without complex logic. As scale and custom conditions grow, costs and limitations grow quickly too.

  • simple links between 2–3 apps
  • low operation volume

Custom code

When automation becomes a product

Makes sense for very specific architectures, demanding performance requirements, or when the automation is part of a service you offer to your own customers.

  • large scale and performance
  • automation as a product

Typical scenarios

What kinds of n8n workflows do we build?

A good implementation starts with a specific problem, not a list of apps. These are the scenarios companies most often launch first.

CRM & sales

Lead routing and follow-up

n8n creates the contact in your CRM, records the campaign source, qualifies the lead against your rules and assigns a task to the right person.

Documents

Invoices and attachments

The workflow picks up an invoice from email or KSeF (Poland’s national e-invoicing system), extracts the data, checks completeness and routes it for approval — no retyping.

Reporting

Reports from multiple sources

The automation gathers data from your CRM, spreadsheets and campaigns, then sends a weekly summary to the team and management.

AI

Message classification and handling

An AI model guided by your business rules classifies requests, summarizes messages and drafts replies for a person to approve.

Webhooks

Real-time event handling

The process starts the moment something happens in a form, payment system, online store, CRM or any app that supports webhooks.

Back office

Approvals and statuses

The workflow tracks approvals, sends reminders, updates statuses and notifies the right people in Slack, Teams or by email.

Self-hosting and control

Security, GDPR and data control in n8n

n8n can run self-hosted, so your data stays on your own infrastructure rather than on a third-party vendor’s servers. You keep full control over where data is processed, who has access, what gets logged and how the environment is configured — which makes GDPR compliance work much easier to reason about.

We build security in from day one: separate accounts and credentials, environment variables instead of keys hard-coded in workflows, separate test and production environments, backups, exception handling and monitoring of every running process.

Implementation process

How we implement n8n, step by step

We start with the process and the data, so the finished workflow is a readable automation your team can maintain and extend.

  1. 01

    Process map

We describe the trigger, data sources, apps, rules, exceptions and the expected result. This removes surprises in later stages.

  2. 02

    n8n architecture

We choose the deployment model (cloud or self-hosted), credentials, environment variables, error logging and monitoring.

  3. 03

    Build and test

We build the scenario and test input data, edge cases and behavior on errors. Only a version that works as agreed goes to production.

  4. 04

    Documentation and growth

We hand over a description of how it works, checkpoints and change instructions — so every tweak does not require our involvement.

Integrations

n8n as the layer that connects your systems

n8n ships with hundreds of ready-made integrations, and we connect to everything else through REST APIs, webhooks or directly to the database.

  • REST API and GraphQL
  • Webhooks
  • JavaScript and Python
  • OpenAI, Claude, Gemini
  • HubSpot, Pipedrive, Salesforce
  • ERP and accounting systems
  • KSeF
  • Google Workspace
  • Microsoft 365 and Teams
  • Slack
  • Airtable and Notion
  • PostgreSQL, MySQL
  • Document OCR
  • Docker and VPS

FAQ

n8n implementation FAQ

What is n8n?

n8n is a workflow automation platform that connects apps, APIs, webhooks, databases and AI models into a single, controlled process. It can run in the vendor’s cloud or on your own server (self-hosted).

When should I choose n8n over Make or Zapier?

When the process needs complex logic, exception handling, custom code, API integrations or a self-hosted deployment — and when costs start to matter as the number of operations grows. For very simple integrations, Make or Zapier are often enough.

Can n8n be installed on my own server?

Yes. n8n can be self-hosted, for example with Docker on a VPS or inside your company’s infrastructure. This gives you full control over data, access and configuration, and we help set up the environment, backups and updates.

What processes can be automated with n8n?

Lead handling and CRM updates, invoice flows, reporting, notifications, ticket handling, data synchronization between systems, API integrations and scenarios that use AI models and agents. If a system has an API, webhooks or a database, n8n can usually work with it.

Can you take over and fix our existing n8n workflows?

Yes. We review existing automations, clean up the logic, add error handling, monitoring and documentation, and if needed migrate scenarios from Make or Zapier to n8n.
